
Process Optimization Coordinator

Optimize operations and streamline workflows – keep RoboTUM running smoothly with efficient processes and resource management!
Responsibilities & Tasks
Standardize processes for planning, prototyping, and testing. Define clear workflows for all RoboTUM teams.
Develop a scheduling system for tools, lab spaces, and office resources. Maintain a database to track availability and usage.
Set up control checkpoints during design, manufacturing, and testing. Collect and file troubleshooting and maintenance documentation from robot teams.
Create safety protocols and risk management plans. Establish member expectations and finalize onboarding rules and guidelines.
Organize workshops on team tools and new software (Notion, Trello, etc.).
General Responsibilities: Attend weekly/bi-weekly departmental & organizational RoboTUM meetings, as well as occasional spontaneous meetings as needed. Answer emails and messages within 24 hours (be comfortable using Slack). Adhere to RoboTUM policies and be willing to help when the team needs you.

Minimum Qualifications
Strong organizational skills and ability to manage multiple workflows
Basic understanding of robotics or engineering concepts to align processes with technical needs
Experience with project management tools (e.g., Asana, Jira, Notion, or Trello)
Excellent written and verbal communication skills for documentation and training
Analytical mindset with a passion for efficiency and optimization
Ideal Qualifications
Background in STEM fields or technical studies
Experience in workflow automation or process improvement methodologies (e.g., Lean, Agile)
Familiarity with robotics competition logistics and preparation
Prior experience in team coordination, operations, or technical project management
Average Weekly Time Commitment
2–4 hours per week, with flexibility during exam season
